Upper Room Portland Terms & Conditions
1. Agreement & Acknowledgment
By booking Upper Room Portland, you acknowledge that you have read, understood, and agreed to comply with the following Terms and Conditions. This agreement outlines the rules, responsibilities, and liabilities for all clients utilizing the venue. Failure to adhere to these terms may result in additional fees, termination of your event, or legal action if necessary.
2. Booking & Venue Access
• Operating Hours: Upper Room Portland is available for bookings daily from 7:00 AM - 3:00 AM. Events must conclude by 1:00AM, with an additional hour available for clean-up until 2:00 AM.
• Extended Hours: If additional time is required, it must be pre-approved.
3. Parking & Location
• Street Parking: Available in the surrounding neighborhood. Be aware of posted 2-hour parking limits. Park at your own risk if exceeding this limit.
•Nearby Garages & Lots: Recommended option for long-term parking. Example:

4. Safety & Security
•Cameras & Monitoring: Security cameras are in place for safety, liability, and insurance purposes.
• Event Conduct: If an event gets out of control, guests will be asked to leave immediately.
• Illegal Substances: The use of illegal drugs is strictly prohibited.
• Alcohol Consumption: Open containers are not allowed outside the building. Alcohol sales require a liquor license (must be obtained 2-4 weeks in advance).
5. Setup, Cleanup & House Rules
•Setup & Breakdown: Your booking time must include setup and cleanup. Additional hours may be requested at:
•$190 per additional hour (event rentals)
• $75 per additional hour (photo/video shoots)
• Clean-Up: The venue must be returned to its original condition.
• Take all personal belongings, decorations, and supplies.
• Reference on-site photos for proper furniture arrangement.
• We handle trash and recycling disposal.
• Late Exit Fee: If you exceed your booking time by more than 30 minutes, a $150 late fee will be charged.
• Confetti & Glitter: Strictly prohibited. A cleaning fee will be charged if used.
6. Furniture & Decorations
•Furniture Movement: Allowed, except for large tables and statues (which are extremely heavy). If adjustments are required, please notify us before your booking.
•Wall Hanging: Use only 3M Command Strips or gaff tape (no nails, screws, or damaging adhesives).
• Take What You Bring: All decor, props, and supplies must be removed after your event.
7. Event Responsibilities & Liability
• Property Damage: Any damage, defacement, or excessive cleaning required will be billed to the client.
•No Unauthorized Installations: Written approval is required for any installations, attachments, or modifications to the space.
• Personal Property: Upper Room Portland is not responsible for lost or stolen items. Clients are responsible for removing all belongings at the end of their event.
8. Insurance & Security Requirements
•General Liability Insurance: Required for all events. Coverage must be at least $1,000,000 per occurrence and must name Upper Room Portland as an additional insured party. Proof of insurance is due before the event date.
•Security Requirement: For public events or those serving alcohol, trained security personnel must be arranged.
9. Smoking & Fire Safety
•Indoor Smoking: Strictly prohibited. A $500 fine per incident will apply.
• Designated Smoking Area: Allowed only in the backyard, at least 10 feet away from the building. Clients must provide proper disposal receptacles.
10. Cancellations & Refunds
• Deposits: Non-refundable under all circumstances.
• Full Payment Refund Policy:
• If canceled 3 months before the event, the amount minus the deposit will be refunded.
• If canceled less than 6 months prior, a refund (minus deposit) will only be issued if we rebook the space at equal or greater value.
11. Venue Rights & Refusal of Service
• Upper Room Portland retains full control over the venue, property, and equipment at all times.
•We reserve the right to refuse rentals to any party or cancel an event if:
• The client breaches this agreement.
• The event violates applicable laws or Upper Room Portlands policies.
12. Force Majeure Clause
Should any unforeseen circumstances beyond either partys control occur (e.g., natural, utilities, disasters, war, government restrictions, civil unrest, or transportation shutdowns), this agreement may be terminated without penalty to either party.
